Import to T2K Step-by-Step

table1.jpgWhen you open the tables with T2K, you have features that will help you import data from excel, such as Copy, Cut, Paste, Paste Append, Paste Special.   You won’t find an option for a fast, global import.   Therefore, it’s a matter of copying and pasting to the T2K Tables.

1.)   Go to the main control panel to open the tables you need to import to.

2.) Make sure that your excel spreadsheet has the same columns (fields in access) that the T2K table has.   Make sure there are in the same order too.   Make sure that your spreadsheet is sorted by your “territory number” field which sorts by numeric order.

3.) A good rule is to copy a column at a time and then paste on the T2K appropriate field.   Remember, alpha text, cannot be pasted on a T2K numeric field. In addition, if you see T2K’s ID field on any of its tables, you can bypass that field since you don’t have to paste to that field.

As you can see, it might take a little effort to import your existing data.   But with a little trial-and-error, we’re sure you can succeed in making the change to T2K.

Using the Language Option

Using the Language OptionUse the “Language” option as a  way to store records  for those house-holds that have English as their secondary language.    The  advantage here is to store territory for a nearby congregation which is assigned to witness in the same territory overlapping your congregations territory.

To assign a language for a record:

  1. Choose a record in the “House-to-House window”
  2. Unlock the option “Lock”
  3. Choose the pertinent language for the record
  4. Click “Add” in the main menu

To list your new  records designated with languages from the ‘Language List Box’:

  1. Click “Lock” to disable it or click on the “Refresh” button
  2. Choose the language from the “language list box”.

NOTE: When you assign a language to a record, you will see that the record will disappear from the “House-to-House window”. But don’t be alarmed. The record has not been deleted.  The record(s) marked with languages belongs to different list of records, completely separate from your territory list. The reason for this is to have a separate list to be able to hand over to another congregation or circuit.

To un-assigned (remove) a language from the record follow these steps:

  1. Choose the record from the “languages list box”
  2. Unlock the option “Lock”
  3. Click on the ‘list of languages’ dropdown box
  4. Choose the blank space
  5. Click the ‘add’ button and then ‘refresh’
If you do not see the updated record, click on the ‘refresh’ button.

To delete a record from the “language list box”, follow these steps:

  1. Choose the record from the “languages list box”
  2. Click on the ‘delete’ button
  3. Use the “add language” to expand your language list. Also, add a blank record and this way, you can refresh from new your entire list of languages under the “List of Languages” dropdown menu and you can remove a language from a particular record.

Don’t forget to print a language report to hand over the territory to another congregation. They will greatly appreciate your work!

Field Service & Phone Card Combo

Field Service and Phone ComboThere are two basic things that guide you to your assigned territory and the house-holds.   Your map of course and your list of house-hold records are the two basic things you need.    Interesting though, in the old days, publishers would use a type writer to create a list of house-hold records to keep handy for field service use.   But they would fear the time when they knew the card would need updating since, after all, you would have to retype the entire card from scratch!

However, with Territory Administrator 2000, update nightmares are things of the past and printing cards are such an easy task.   And now, with Version E, you can print ‘Field Service Cards’ and ‘Phone Witnessing Card’ combination.   The advantage to this is that you can carry these cards out to fields as they were intended for.   But, on the days that you would rather start phone witnessing, you can still use the same card and have all the information handy to begin making phone calls.
